PURPOSE

This procedure outlines the steps required to properly retire the device from use and remove from services.

 

BACKGROUND

Equipment which is deemed to be unusable due to age or condition will be retired from service. Devices which will be retained as test or special purposes devices should not be retired.
 

PROCEDURES FOR RETIRING COMPANY OWNED ASSETS

  1. Remove Landmark Structures Asset Tag from the system.

  3. ASSET IS A COMPUTER
    • Remove the physical hard drive / storage drive and deliver to IT Manager for archival.

    • Remove RAM, WiFi card, and battery (if easily removable and known-good) for parts.
      • RAM and WiFi cards should be stored in the computer parts bin. Parts which are model specific should be placed in the correct location.

      • Batteries which are known-good and will be retained should be labeled with the laptop model number it was removed from and then placed in InfoSys Storage cabinet.  
        Label Example: "Latitude 7490".

    • Delete computer account object from Active Directory.

    • Remove the device from Intune by using the DELETE command.

    • Delete the devices from Azure AD. While devices which are replicated from local Active Directory should be automatically deleted on synchronization, manually deleting enforces the process.

    • Delete the computer registration from the All Computer grouping in ScreenConnect.

    • Update the CMDB in FreshService Portal to reflect the retirement of the asset.
      • Change assignment to "Retired".
      • Update the Description field with notation regarding the retirement of the asset. Include date and name of IT Agent effecting the retirement.

    • Move the retired asset hardware to temporary storage to await disposal / recycling.

    • Move hardware to the garage and place on the wire racks in the back of the space. 

    • Computer devices and batteries should be stored separately.

  • Burlington Office
    • Label the device with a tag stating "RETIRED" and place in the server / file room.
