PURPOSE
This document outlines the procedure for migrating a user to a new or replacement computer. The items mentioned in this document are not a substitute for configuring individual applications according to their respective Standard Installation and Configuration guides.


BACKGROUND

End user data is accumulated in multiple locations on a computer during normal use. Content created during normal work processes is typically stored in common standard locations such as Desktop or Documents folders. Individual applications however store specific application data in hidden locations. Where possible, this data must be identified and migrated to insure a smooth transition, and user down time and frustration. 



USER DATA

All user data and content stored in common locations should be migrated to the new / replacement computer.

  • Desktop folder (Leverage OneDrive for Business folder backup / synching for this.)
  • Documents folder (Leverage OneDrive for Business folder backup / synching for this.) 
  • Favorites folder
  • Music
  • Pictures  (Leverage OneDrive for Business folder backup / synching for this.) 
  • Videos
  • Other folders stored under the user’s profile should not be migrated unless specifically request by the user.
  • It is possible a folder of content may exist at the root of the OS drive, or at the root of the user folder. discuss with the user and migrate as needed. Content should be moved into the users OneDrive for Business folder unless there is a legitimate reason not to.



APPLICATIONS

All applications which are commonly used by on user must be present on the new computer to insure a smooth transition. 

  • The FreshService Agent maintains a list of all applications installed on systems. This can be found in the system's CI / Inventory record.
  • Discuss and verify the applications used by the user and provision these applications on the new computer.
  • Applications which are no longer required by the user or retired do not need to be installed.


Individual application which are known to require application data migration are listed below.

  • Microsoft Custom Dictionaries

  • Microsoft Outlook Signatures
    • %AppData%\Microsoft\Signatures
    • All local *.PST Files which are connected to Outlook on original computer.
  • Google Earth

    • % userprofile %\AppData\LocalLow\Google\GoogleEarth\myplaces.kml
  • Internet Explorer
    • %userprofile%\Favorites
  • Microsoft Edge

  • Google Chrome

    • User should be signed in to PBX extension.
    • User’s local contacts should be migrated if there are any. This is done by going to the contacts tab, exporting them to CSV and transferring the file to the new computer. On the new machine, go to the contacts tab and Import the CSV.
  • BlueBeam
    • Transfer the user's license between computer by un-registering the old system and registering the license on the new system.



HANDOFF / FINALIZATION

Except under special circumstances, a handoff of a replacement computer should be performed as a collaborative discussion with the end user. A handoff discussion will insure the user has a high level of comfort with the new computer. A follow-up discussion must be held post-hand off if a discussion is not possible at time of hand-off.

The following items should be discussed and verified by the user during this process.

  • State of applications. Are all applications required by the user in place and available?
  • State of data. Was all the user’s content and data migrated successfully?
  • Outlook configuration
    • Are signatures in place?  Set the correct default signature.
    • Are all PST files and mailboxes connected and available?
  • OneNote configuration
    • Are all notebooks in place and available?
    • Walk the user through the process of re-connecting to any cloud-based notebooks.
  • VPN
    • Verify the user knows how to launch and configure the VPN client on the new computer including proper username format and password options. 
  • Is Bria Functioning correctly?
  • Are all Autodesk applications operating as licensed?
  • Are all Microsoft applications operating as licensed?
  • Is BlueBeam operating as licensed?
  • Are all accessories working properly?
