Uploading Released Drawings

  1. Prepare Drawings for Upload into Procore.

    1. Split Drawings using the Extract Sheets macro

      1. Ensure you have the latest version of the Extract Sheets macro in your Microsoft Outlook macros list. The macro file is attached and may be installed into Microsoft Outlook as a VBA module.

      2. Download the Released Drawings PDF from Livelink and open in Adobe Acrobat Standard or professional. This process required Adobe Acrobat Standard or Professional. Foxit PhantomPDF, Bluebeam Revu, and Adobe Reader are not supported.

      3. Open the current version of the project specific Drawing Master Index file from Livelink.

      4. Hide all non-released drawings on the Drawing Index, and un-hide all columns.

        It is critical to verify drawings which are not part of the Released Drawings PDF file are not marked as Released in the Drawing Index file. All drawings which are not hidden and marked as released are counted as part of the process of looping through the bookmarks in the Released Drawings PDF.

      5. Place an "X" in the EXPORT column for all drawings which you would like to export.

      6. Run the "Export Sheets" macro.

      7. You will be prompted to selected a folder location to save the exported drawings and also for the number of Index Pages which are included in the from of the Released Drawings PDF file. The macro will loop through the Drawings Index and Released Drawings PDF file and export each selected drawing into an individual single page PDF files. The files will be grouped into sub-folders based on the Set Name as defined in the Drawing Index file.

    2. Compare the number of extracted drawings with the number of drawings marked for extract in Excel.

  2. Navigate to the Drawings Tool for the specific project for which drawings should be published / released.

  3. Click on the orange Upload Drawings button to launch the Attach File(s) screen.

  4. Navigate to the folder where the drawings were exported to previous steps, and drag all drawings pertaining to a specific set into the Attach File(s) window and click the Attach button to move on to the next step. Drawings must be uploaded in batches based on the drawing set.



  5. Configure the drawings upload by selecting the Set for the drawings or entering a new Set Name along with the Set Date. You may also enter a default Drawing Date which will be used for on drawings in this upload. This date may be changed in a following confirmation step.




  6. Click on the arrow next to Advanced Options to expose additional fields. Please a check-mark in the Drawing Number Contains Revision and Drawing Number Get From Filenamecheck-boxes.
    1. You may skip this step if the the individual drawing PDF files were not generated using the Extract Sheets macro.

  7. Click on the Process button to upload the Drawings. The system will begin processing the drawings and you will receive a notification once the drawings are ready for review and confirmation.
    THESE DRAWINGS ARE NOT AVAILABLE TO OTHER UNTIL AFTER REVIEW AND CONFIRMATION.



Review Uploaded Drawings

  1. All uploaded drawings must be individually reviewed to confirm the drawing details such as Drawing Number, Name, and Revision are correct. The review and confirmation process may be started from the Drawing Sets list or by clicking on the set Ready for Review link on the right hand side of the Drawings Tool screen.



  2. Click on a drawing in the list of drawings and confirm the Drawing Number, Drawing Name, and Revision.

    1. The Drawing Number and Name / Title should be automatically populated based on the uploaded file name. You may make corrections as needed.

    2. The Discipline should be automatically be populated based on the Drawing Number. You may make corrections as needed.

    3. The Drawing Revision should be automatically populated based on the uploaded file name. You may make corrections as needed. 

    4. You will see a duplicate revision if the uploaded drawing used the same revision as the previously uploaded version. The newly uploaded revision may be deleted if this happens and the duplicate revision is not a true revision (this may happen if you upload an identically named drawing file multiple times). Click the Delete button to delete the duplicate revision.

    5. The Drawing Date will display the Default Drawing Date if specified during the upload process. You may make corrections as needed to this value.

    6. Click the Confirm button to save the details of the drawing.

  3. Repeat this process for all drawings in the Set.

  4. Use the Publish and Distribute button to publish the drawings and send an email notification to subscribed users.

  5. Repeat this process for all Sets / batches of drawings which have been uploaded.
