1. Launch the PROCORE app on your mobile device and sign in as needed. The app will open the most recent project you were viewing, or prompt you to select a project if you have not previously used the app.

  2. Tap on the name of the project you are currently viewing to select a different project from the list of available projects or to search by project name or number. Select the specific project for which the SER should be completed.
    • For U.S. Operations (Landmark Structures I LP)
      • Select the EHSNPJ (EHS Non Procore Project) project for legacy jobs which are not managed through Procore.
      • Select the EHSNPJ (EHS Non Procore Project) project for SERs performed at the Fort Worth or Wheaton office locations.
      • Select the FAB project for SERs performed at the Decatur, TX office location.
    • For Canadian Operations (Landmark Structures Co, Landmark Municipal Services)
      • Select the EHSNPJ (EHS Non Procore Project) project for legacy jobs which are not managed through Procore.
      • Select the EHSNPJ (EHS Non Procore Project) project for SERs performed at the Burlington office location.
      • Select the SHOP project for SERs performed in the Burlington Shop facility.


  3. Tap on Inspections tile to launch the project specific inspections tool. A list of inspections which are present on the job will be displayed.

  4. Tap on the plus ("+") button to create an Inspection and choose the Site Evaluation Report (SER) inspection template. The Create an Inspection form will display.







  5. Fill out basic Inspection details and tap the Save button to begin the inspection.

    • Assignee should be the person conducting the inspection. This may or may not be the person who created the Inspection record.

    • Status field should be set to Open until an inspection has been completed.

    • Due Date should be the inspection should be completed by.

    • Inspection Date should be the date the inspection was performed.

    • Location field should be set to the appropriate location.
      • For EHSNPJ, EHSCAN, and FAB projects, select the appropriate Job from the location list.
      • For all other projects, leave the location field blank.

    • Private field may be used to restrict permissions to this Inspection. Marking an Inspection as Private will reduce the visibility of an Inspection although key stakeholders of Construction Operations, Field Operations, Project Management, Quality, Safety, and Management teams will retain access to this data.

    • Description field will include a default value which may be edited as needed.

  6. The list of Site Observation (SER) inspection questions will be displayed.

  7. Tap on the "i" icon in-line with each of the inspection questions to enter an inspection answer, add comments, photos, or create an observation.



  8. Select the best response (Pass or Deficiency) for each of the inspection items and enter additional information as appropriate.

    Pass
    • Choose the green Pass item from the selection list to signify the item passed inspection.
      While not required by the system, it is a best practice to add comments and a photo to an inspection it to document and illustrate what was inspected and the state at the time of inspection. You are reporting the item has passed inspection. Prove it.



    • Tap the Comments button to add detailed information about the inspection item.

    • Tap the Photo button to add a photo to the inspection item illustrating the condition of the inspected item.

  9. Deficiency

    • Choose the red Deficiency item from the selection list to signify the item failed inspection. The system will automatically prompt you to create an Observation for any inspection items for which a deficiency response has been selected.

    • Choose Safety Deficiency as the Observation Type when prompted.

    • Fill out all fields on the required Observation form.
      • Title - This should be filled out automatically. Do not change.

      • Type - This should be filled out automatically. Do not change.

      • Status - This may be set to Initiated, Ready for Review, or Closed.
        • Initiated - This status should be used if you are documenting a problem which is in process of being corrected. 
        • Ready for Review - This status should only be used if you are acting on an Observation which was assigned to you by another person within PROCORE.
        • Closed - This status should be used if the problem has been corrected.

      • Assignee - The Observation should be assigned to yourself by default. You may also assign it to another person to take action.

      • Distribution Members - Other users who should be notified about this observation may be added here.

      • Due Date - This should be set to due date for the problem to be corrected.

      • Privacy - This should be set to off, with the slider in the left position and shaded grey.

      • Description - The details of the deficient inspection item, along with with details of how the problem was corrected should be entered here.

      • Camera / Attachments - Photos which illustrate both the deficient and corrected state should be attached.



    • Tap the Save button in the upper right-hand corner of the window to save the Observation and return to the list of inspection items.

    • No additional comments or photos are required for a deficient inspection item. All information should be captured as part of the Observation.
      Note: Inspection items which are deficient should not be changed from Deficiency to Pass after correcting the issue which cause the failure. It is important to capture the deficient item as a Deficiency, while also capturing the corrective actions in the details of the Observation.

  10. Saving the Inspection

    There is no need to perform a Save action on the Inspection. The data is uploaded to the PROCORE Web App in real time over the internet. The data will be stored on the local device and uploaded later if network conditions do not allow for it to be uploaded immediately.

  11. Complete / Closing the Inspection
    • You may mark the inspection as complete by changing it's status to Closed.

    • Tap on the Edit button in upper right hand corner of the inspection list window.

    • Move the Status slider to the Closed position.

    • Tap the Save button in the upper right hand corner of the inspection details window.

  12. Sending Observations to Assignees (VERY IMPORTANT)

    All Observations are placed in an outbox in the system upon creation. These must be sent in order for the system to notify an assignee of task assignment and over-due notifications. This step should be performed even if Observations were only assigned to yourself.
    • Return the Project home screen and tap on the Observations tile. The list of all Observations on the Project will be displayed.

    • Tap on the orange paper airplane (send) button in the top of the display. The send button will be grey if there are no Observations to send.

    • You will be prompted to confirm you would like to send the Observations. Tap the Send button to confirm. The Assignee, Creator, and any users listed on the Distribution will receive an email alert. The ball-in-court will shift to the assignee and overdue notifications will trigger as needed.
