BACKGROUND

OpenText Content Server (Livelink) uses legacy integrated authentication to grant users access to the system. The system synchronizes Users and Groups from Active Directory, and replicated group memberships for any users and groups which are synchronized. There are two steps to fully disabling a user account in Livelink; Disabling Access and Removing from Synchronization and Deleting the User.



DISABLING ACCESS

  1. Navigate to Livelink.

  2. Select the Users and Groups item from the Enterprise menu.




  3. Search for the user to deactivate using the Find features and click the Edit link for the user. The user details page will load.




  4. Remove the checkmark from the Log-in Enabled checkbox and click the Update button to save the change.





REMOVING SYNCHRONIZATION AND DELETING USER

  1. Remove the user from the LivelinkUsers group in Active Directory. All members of this group are synchronized to Livelink.
    • The synchronization process will create Livelink Users for any Active Directory user which is a member of the group but not already present in Livelink.

    • The synchronization does not automatically remove users from Livelink. This is an intentional choice to prevent accidental deletion. 

  2. Wait 30 minutes for the synchronization is complete.

  3. Navigate to Livelink.

  4. Select the Users and Groups item from the Enterprise menu.



  5. Search for the user to deactivate using the Find features and click the Edit link for the user. The user details page will load.




  6. Click on the Delete User button for the user and confirm the delete when prompted.
    Note: This should be completed when the user account is being fully de-provisioned, but not necessarily deleted, in Active Directory Users accounts are typically de-provisioned but retained in AD withing a Holding OU for a period of time.
